The earliest receiving date and the closing cutoff define a window—not a guarantee. Build an export plan that keeps the booking, facility and truck aligned.
Separate the deadlines
The earliest receiving date (ERD) indicates when the terminal expects to accept export cargo for a booking. The receiving cutoff is the latest accepted ingate time under the applicable instructions. Documentation and verified gross mass deadlines may be separate. Obtain current instructions from the ocean carrier or forwarder; do not assume all deadlines move together when a vessel schedule changes.
Check the booking before dispatching an empty
The truck needs an actionable release, not just a vessel name. Confirm the booking number, equipment size and type, authorized empty pickup location and any release reference. Equipment availability and acceptance rules should be checked for that move.
- Confirm empty release and authorized pickup location
- Confirm where and when the shipper will load the container
- Identify who supplies the seal and final shipment details
- Confirm the export terminal, ERD and receiving cutoff
Treat facility loading as its own appointment
The shipper or loading facility performs cargo loading. D&G coordinates the container transport. Ask the facility for a realistic ready time and communicate changes before the truck is committed. When the cargo is ready earlier than the terminal will accept it, discuss a staging plan and costs instead of sending it to a closed receiving window.
Build a decision point before the cutoff
Choose a time to reassess readiness with the forwarder and dispatch. If loading runs late or terminal acceptance changes, ask for revised booking instructions. A driver arriving at the gate does not guarantee acceptance, and a missed cutoff does not establish the next sailing or its cost. The ocean carrier must confirm the alternative.
Close the loop with the gate record
Retain the ingate receipt, container and seal details, booking reference and any revised instructions. Share completion with the forwarder so the transport record and export documentation agree. These steps help keep a schedule change from becoming an undocumented handoff.
